What this notice covers
This notice covers website enquiries, sourcing workspaces and service administration. We process account details, role briefs, imported candidate records, professional evidence, saved work emails, and the notes and outcomes your team records. Please provide only information needed for your recruitment work.
Why we use information
We use enquiry information to respond to your request, and account and service information to administer and deliver the service. Our lawful bases for our own business administration are legitimate interests in responding to enquiries and running the service, contract where necessary to provide a service to you, and legal obligation for required business records. We do not use enquiry details for unsolicited marketing.
Service providers
Workspaces store account and candidate information on the application server. Revolut handles invoice payments and recurring card subscriptions. Where Stripe billing is connected, Stripe handles those subscriptions. Payment providers receive the payment and billing details needed to process your purchase; full card details are not stored in the sourcing workspace. The configured email service handles account verification and password recovery. Optional research and AI providers receive the brief or professional evidence needed for the requested task. Contact us for the providers and hosting arrangements active for your account.
Candidate information and AI-assisted review
Your team controls which candidates to research and contact. When connected, an explicit enrichment request sends a candidate’s LinkedIn profile URL to Enrich Layer for professional profile information, or to the connected email provider (Enrich Layer or FullEnrich) for a work email. The provider used is identified in your workspace. Work-email results return to our server and are saved in the requesting workspace. The integration does not request personal emails, phone numbers or demographic extras. Provider records can be incomplete or out of date; verification is attributed to the provider. AI evidence review is optional, and your team makes hiring decisions. No automatic candidate rejection is included. Outreach emails are sent only when a workspace owner requests a send from their connected mailbox. Follow-ups require a separate send review.
International processing
Our service providers may process information outside the UK. The locations and transfer arrangements depend on the provider and the service configuration. Contact us for information about the arrangements relevant to your account or proposed candidate-data processing before you upload CVs.
Retention
Enquiries that do not proceed are retained for up to 12 months. Business account and correspondence records may be retained for up to six years after our relationship ends where needed for business records, legal obligations or claims. Saved candidate records remain in your workspace until deleted or handled under your agreed retention arrangements. Deleting a profile removes its saved enrichment results and stops pending callbacks from restoring them. Pseudonymous billing and suppression records remain to enforce usage limits and prevent rediscovery. The business-record period is not a blanket retention period for candidate information. Contact us to request deletion or confirm the period applying to your files.
Cookies and local storage
The sourcing workspace uses a session cookie for sign-in and a workspace cookie to retain the selected workspace. These support account access and navigation. This build does not include advertising trackers or analytics scripts. Hosting and external service requests may create operational logs.
Your choices and rights
Depending on the processing and lawful basis, you may request access, correction, deletion, restriction or portability, or object to processing based on legitimate interests. Email us to make a request. If a recruiter supplied your information, we may need to coordinate with that recruiter. You can also complain to theInformation Commissioner’s Office.
Existing candidate accounts
Retiring the candidate interface does not itself delete past records or cancel existing billing arrangements. Contact us for help with a previous account, payment, order or data request. We will identify the relevant records and next steps with you.
Google sign-in and Gmail
When you choose Google sign-in, Google shares your name, verified email address and Google account identifier with Superceptron. We use these to create or authenticate your account and maintain an explicit link to an existing account. We store the account identifier with your account details; Google sign-in tokens are used to verify the login and are not retained as ongoing mailbox access.
Google sign-in does not grant access to Gmail or Google Drive. We do not use Google sign-in data for candidate research, advertising or AI model training. Our application hosting provider processes this data to operate the service. The Google account link remains until account deletion; contact info@superceptron.com to request removal or deletion. You can also remove Superceptron access from your Google account’s connections settings.
Gmail is a separate, optional connection. With your consent, we receive your account identity and permission to send email on your behalf. We do not request permission to read your inbox, contacts or Google Drive. We use Gmail access only to deliver the recipients, subject and message that your workspace owner reviews and requests to send, with an unsubscribe link added. Google processes these messages for delivery; recipients receive their addressed message. Superceptron’s use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
We encrypt stored Gmail access and refresh tokens on our application server. We also store the connected mailbox address and delivery history, including recipient address, subject, timestamps, message identifiers and send status. Saved sequence drafts remain in your workspace. Our hosting provider processes this information to run the requested feature. We do not sell Google user data, use it for advertising or AI model training, or use mailbox authorization for candidate research.
Disconnecting Gmail in Integrations removes Superceptron’s stored mailbox authorization. You can also revoke access in your Google account’s connections settings. Disconnecting does not delete messages already sent through Gmail or local delivery history. Account/workspace deletion removes the connection and associated workspace data; candidate deletion removes that candidate’s local delivery history. Hashed address suppression records remain until workspace deletion to honor opt-outs, and hashed mailbox send-limit entries stop counting after 24 hours and are removed during subsequent send-limit accounting. Contact info@superceptron.com for access or deletion requests.
